A fire door can look closed and still fail when it matters. A damaged seal, excessive gap, missing sign, loose hinge or faulty closer may be missed in a rushed walk-round, then become difficult to explain after an incident. For organisations with multiple sites, the challenge is rarely knowing that fire doors need attention. The challenge is making sure each door is identifiable, each check is appropriate, defects reach the right person, and overdue work cannot disappear into an inbox or spreadsheet.

Why spreadsheets fail fire door inspections

A spreadsheet can record that an inspection happened. It is much less effective at showing the condition of an individual door, its location, the exact defect found, who owns the repair and whether the remedial work was verified.

Inspection templates that reflect real conditions

A useful inspection form guides the inspector through what they must assess without encouraging a box-ticking exercise. Checks may cover:

  • door leaf condition, gaps and damage;
  • frame, hinges, ironmongery and self-closing action;
  • intumescent strips and smoke seals;
  • glazing, signage and hold-open devices; and
  • alterations, obstructions or evidence that the door is being wedged open.

The exact checklist depends on the door, its use, the building risk assessment and the competence of the person carrying out the check. Priority needs judgement. A closer that does not shut a fire door fully is not managed in the same way as faded signage. Your process should reflect risk, interim controls and the advice of competent people where required. Build the process around your risk, not a generic schedule

There is no value in choosing software that imposes a universal timetable disconnected from your fire risk assessment, building use and internal procedures. Some doors need more frequent attention because of heavy traffic, vulnerable occupants, changing occupancy or a history of damage. Others may sit within a lower-risk environment but still require planned checks and effective records.

Set inspection schedules by door category, location and risk profile. Include follow-up tasks for failed checks, periodic reviews of open actions, and a route for escalating material defects. If contractors undertake inspections or repairs, define exactly what evidence they must provide and who accepts their work.

The process should also connect to the wider fire safety picture. Training records can show whether staff understand that fire doors must not be obstructed. Planned maintenance can schedule specialist servicing. Risk assessments can record local controls. Incident reporting can identify where damaged doors or poor practices contributed to a near miss. Keeping these records in separate systems makes cause and response harder to see.

Choosing software that works on site

The best platform is not necessarily the one with the longest checklist. It is the one your teams can use consistently in plant rooms, corridors and busy operational areas, while giving managers reliable oversight.

Look for mobile browser access, QR-enabled asset records, configurable inspection forms, photographic evidence, defect workflows, scheduled tasks, escalation rules and clear reporting. Audit logs and permission controls are essential where multiple teams, contractors and sites contribute to the record.

Integration also matters. If fire door defects must be retyped into a separate maintenance tracker, double entry will return and information will diverge.
