Emergency lighting testing needs more than a tick on a sheet. Set clear routines, capture proof at the point of work, and stay ready for inspection today.

A failed emergency fitting is rarely discovered at a convenient time. It is found during a power loss, an evacuation, a fire risk assessment, or an audit where a missing record raises a wider question: can the organisation prove that critical safety controls are working? Emergency lighting testing is therefore not a standalone maintenance task. It is a recurring operational control that protects people and creates evidence of responsible building management.

For facilities and compliance teams, the challenge is consistency. A monthly check may be straightforward at one site, yet become unreliable across a portfolio of buildings, shifts, contractors and asset types. The answer is not more spreadsheets. It is a defined routine, clear ownership and records that connect every test, defect and corrective action.

What emergency lighting testing is designed to prove

Emergency lighting supports the safe evacuation of occupants when normal lighting fails. Depending on the building, this can include escape-route luminaires, open-area lighting, high-risk task-area lighting and illuminated exit signs. Testing confirms that the system switches to its emergency supply, that fittings operate as intended and that defects are identified before an incident exposes them.

The evidence matters as much as the test itself. A record that simply states “passed” offers little assurance if a fitting later fails. A defensible record identifies the location, asset or circuit, test date, person completing the check, result, faults found, action required and closure of that action. This creates a clear chain from inspection to resolution.

In the UK, testing arrangements should reflect the emergency lighting design, the manufacturer’s instructions, the premises fire risk assessment and relevant guidance such as BS 5266-8. The frequency and duration of tests can vary with the system and operating environment. Facilities teams should avoid treating a generic schedule as a substitute for understanding what their own building requires.

A practical emergency lighting testing routine

Most organisations need a programme that combines regular functional checks with a longer full-duration test. The precise approach should be agreed with a competent person and documented in the site’s fire safety arrangements.

A short functional test is commonly completed monthly. The purpose is to simulate failure of the normal supply long enough to confirm that emergency lights and signs illuminate. It should be planned carefully. Testing during occupied hours can cause confusion, while testing outside normal hours can leave defects unnoticed until the following day. The best window depends on the site, occupancy profile and available support.

A full-duration discharge test is commonly completed annually. This test checks whether the emergency system can operate for its specified duration, often one or three hours depending on the installation. It should be scheduled when the building can remain safely managed afterwards, because batteries may need time to recharge. If the building will be occupied before that recharge period is complete, the responsible person must consider whether alternative precautions are necessary.

Daily visual checks may also be appropriate in higher-risk or continuously staffed environments. These are not a replacement for functional testing. They are a quick opportunity to spot damage, indicator warnings, obstructed fittings or obvious changes to the premises that affect escape routes.

Test the system, not just the switch

A rushed test can create false confidence. The person carrying it out should check that the expected fittings illuminate, not merely that a central test key has been turned. Exit signs must remain visible, escape routes must have adequate coverage, and fittings should not be blocked by new partitions, stored stock, displays or changes to room layouts.

This matters particularly after alterations. A building can have a well-maintained emergency lighting system that is no longer suitable for its layout. New shelving, a reconfigured office, a changed corridor route or a repurposed room may require the emergency lighting provision and fire risk assessment to be reviewed.

Automated testing systems can reduce manual effort and improve consistency, especially across large estates. They do not remove the need for oversight. Someone still needs to review exceptions, investigate failures, confirm repairs and make sure the system configuration reflects the actual site.

Where testing programmes usually fail

The common failure is not that teams ignore emergency lighting altogether. It is that the work is split across too many places. A caretaker completes a check on paper. A facilities coordinator keys a result into a spreadsheet. A contractor reports a failed battery by email. A replacement fitting is recorded in a separate maintenance portal. At audit time, nobody can show the full story without chasing documents.

Other weaknesses are equally familiar: tests are missed when a responsible person is absent; sites use different forms; failures remain open without a target date; or the annual discharge test is booked but never evidenced. These gaps make it difficult to demonstrate control, even where staff have acted in good faith.

A stronger process starts with defined accountability. Each site needs a named owner for completing or arranging checks, along with escalation for overdue tests and unresolved defects. Contractors need a consistent method for submitting results and attaching supporting evidence. Compliance leaders need a portfolio view that shows which sites are current, which are overdue and where safety-critical actions remain open.

Turn each test into usable evidence

The most effective records are created at the point of work. A useful emergency lighting record should capture more than compliance status. It should establish context. Record the fitting or test point, its location, test type, duration where relevant, outcome, defects, temporary controls and the person responsible for repair. If a defect is found, it should become a trackable action with an owner and due date, rather than a note that disappears into a log.

For example, a monthly test may show that an exit sign above a rear stairwell does not illuminate. The immediate record should identify the sign and location, note whether the route remains safe, record any temporary measure, and raise a repair task. Once the fitting or battery is replaced, the repair evidence and retest should close the same action. That sequence is what an auditor, insurer or investigating authority needs to see.

Manage defects according to risk

Not every fault has the same operational impact. A failed fitting on a low-occupancy route may require a different response from failed lighting on a primary escape route or in a high-risk task area. The response should be guided by the fire risk assessment and competent advice, rather than a blanket rule that either overreacts or delays everything.

Where a defect reduces the safety of an escape route, assess the need for immediate controls. These could include restricting an area, providing suitable temporary lighting, changing the evacuation arrangement or arranging an urgent repair. Record the decision and who made it. A repair completed quickly but without evidence can still leave an organisation exposed when it must demonstrate how the risk was managed.

Repeat failures should trigger a wider review. A battery that repeatedly fails may point to poor-quality replacements, charging issues, environmental conditions or an ageing system nearing renewal. Trend data helps facilities teams move from reactive repairs to planned investment.
