Use this procedure where school employees use work equipment or where the school owns, operates or controls work equipment. It applies to equipment owned by the school and to equipment supplied by another party.
1. Responsibilities
The person responsible for this procedure is [work equipment responsible person]. That person should coordinate the identification of work equipment, the recording of the school's ownership, operation or control responsibilities, and the retention of records showing how applicable PUWER duties are managed.
Managers and supervisors who have responsibility for the safe use of work equipment should provide the information needed to identify equipment used by school employees and equipment that the school owns, operates or controls.
The person responsible for maintaining the work-equipment scope record is [work equipment record owner]. The record is held at [work equipment record location].
2. Identify equipment within the school's responsibility
Identify work equipment used by school employees, whether or not the school owns it. Also identify equipment for which the school owns, operates or has control responsibilities.
For each item identified, record the equipment description, its location, the relevant school contact, and whether the school owns, operates or controls it. Record whether the equipment is supplied by another party and identify that party where this information is available.
Where the equipment is supplied by another party, record the arrangements used to control the equipment and how the applicable PUWER duties are managed.
3. Record applicable PUWER arrangements
For equipment within the identified scope, record the arrangements used to manage the applicable PUWER duties. The record should show the relationship between the equipment, the school's ownership, operation or control responsibility, and the arrangements used.
Retain the current work-equipment scope record and the records showing how applicable PUWER duties are managed at [work equipment record location].
4. New machinery placed on the Great Britain market
Apply this section only when new machinery is placed on the Great Britain market for the school. It does not apply merely because an existing machine is used at school.
For new machinery placed on the Great Britain market for the school, ensure that the machinery is UKCA or CE marked, is supplied with a declaration of conformity, and is accompanied by instructions in English.
Retain the relevant procurement and supplier records, UKCA or CE marking information, declaration of conformity, and English-language instructions at [machinery conformity record location].
5. Review and update
Update the work-equipment scope record when equipment is introduced, removed, transferred, supplied by another party, or when the school's ownership, operation or control responsibility changes.
Where new machinery is placed on the Great Britain market for the school, update the relevant conformity records to retain the applicable marking information, declaration of conformity, English-language instructions, and procurement or supplier records.
