School Maintained-Pupil Common Transfer File Procedure

Applicability
This procedure applies to a school maintained by a local authority in England when a pupil ceases to be registered at the school and becomes registered at another school in England or Wales.
The supplied requirement does not establish the same requirement for academy schools. Academy applicability should therefore be determined separately before this procedure is used.
Procedure
1. Confirm the transfer trigger
Confirm that the pupil has ceased to be registered at this school and has become a registered pupil at another school in England or Wales.
2. Confirm the destination
Confirm the destination school and record the destination-school details, including [destination school name] and [destination school contact details].
3. Send the common transfer file
Send a common transfer file to the new school using [approved ctf transmission method].
4. Record the transfer
Record the transmission date as [ctf transmission date] and retain the delivery or receipt confirmation as [delivery or receipt confirmation].
5. Manage exceptions and failed transfers
If an exception occurs or the transfer fails, record the issue as [transfer exception or failure] and follow it up through [transfer follow up route].
Completion
The transfer is recorded when the common transfer file has been sent to the new school and the available delivery or receipt confirmation has been retained.
