School lifting equipment examination and conformity records
This guidance applies where the school has or controls lifting equipment or lifting accessories and holds related examination, inspection or conformity records.
Records to retain
Keep records of all thorough examinations and inspections for the relevant lifting equipment and lifting accessories.
Retain the Declarations of Conformity for all relevant lifting equipment and lifting accessories.
Controlled electronic records
Records may be kept electronically. Use a central or otherwise controlled electronic record system that maintains the examination and inspection history for each relevant asset and stores the related Declarations of Conformity.
Protect the records from unauthorised alteration through appropriate access controls, an audit trail or another suitable protection arrangement. The school’s access arrangement is [records access arrangement].
Written copies
Although records do not need to be kept in hard-copy form, the school must be able to provide a written copy when necessary.
Produce a written copy when requested by the relevant enforcing authority or when the lifting equipment leaves the school’s undertaking, including under hire, for use elsewhere or on second-hand sale.
Retention decisions
Set the retention period for each category of examination, inspection and conformity record by reference to Table 3 of the HSE publication “Thorough examination of lifting equipment”. Record the school’s retention and disposal decision as [retention decision].
Do not dispose of a record until the applicable retention period and the school’s retention decision have been considered.
