School GRT Pupil Departure and Destination-Check Procedure

This procedure is conditionally applicable to a maintained or academy primary or secondary school in England when a Gypsy, Roma or Traveller pupil leaves without an identified new destination school.
1. Record the departure
When a Gypsy, Roma or Traveller pupil leaves the school, the designated staff member [responsible role] should record the pupil's departure on [school record system]. Record the pupil's name or identifier, the departure date [departure date], and whether a new destination school has been identified.
2. Check for an identified destination school
Check the available school information for an identified new destination school. Record the check, the information considered, the date of the check [destination check date], and the outcome.
3. Notify the local authority when no destination is identified
If no new destination school is identified, inform [local authority name] through [local authority contact route]. This is particularly important when the departure occurs during transition between primary and secondary school.
Record the date of notification [local authority notification date], the information provided to the local authority, the person who made the notification [notifying person], and any reference or confirmation available in [school record system].
4. Record continuity-of-education follow-up
Record any continuity-of-education follow-up arising from the departure in [school record system]. Include the follow-up action, the date [follow up date], the person responsible [follow up role], and the outcome or current status.
5. Close the record
The designated staff member [responsible role] should ensure that the departure record, destination-school check, any local-authority notification, and continuity-of-education follow-up are retained together in [school record system].
