DfE SEMS as one series, evidence from records you hold, and driving licences on personnel files

You can adopt the DfE SEMS levels as one series, evidence a requirement from records you hold, and record a driving licence on a personnel file.
Adopt the School Standards You Need
The four DfE levels lived in the DfE document. Estates duties for an independent school lived in policies, drill logs and inspection folders.
Standards now includes DfE SEMS as one series, on one library card: Level 1: Baseline, Level 2: Transitioning, Level 3: Fully Effective and Level 4: Advanced.
Choose Adopt through Level 4: Advanced, or the level you are working towards. One wizard adopts each missing earlier level with the level you picked. Shared questions are asked once. A later level waits until every earlier level has a current adoption.
The site list shows one row for the highest level achieved. A level counts when every activity in scope is met and every earlier level is achieved. Remediation, a missing assessment or a partial score leaves it short. A renewal warning can leave it achieved.
You can assign the estate roles, other than Owner, to a person, a group or a company. A people requirement follows whoever holds the role, and changing the holder updates the result.
The same library includes Independent Schools Premises and Safety for schools in England. It covers the estates duties in the Independent School Standards, the accessibility plan, and boarding accommodation, safety and fire where the school boards. Boarding questions stay hidden until you say the school boards. A boarding-time fire drill follows the school's term dates. Set Up Term Dates opens Calendars on a new Term when those dates are missing.
You use the packs to organise the evidence and see the gaps. You submit the SEMS annual return in MYEE.

Point a Requirement at Evidence You Hold
You had to copy a finished condition survey, the hazardous materials register, or a file you hold onto the requirement before it would count.
Link a finished premises condition survey. It counts when the survey is complete and within the age on the slot: five years when no shorter limit is set. A draft shows Survey Not Complete. A survey past that age shows Evidence Out of Date.

Record a Driving Licence on the Personnel File
Licence number, categories and expiry lived on a scan or a note beside the person.
On People, open the record and choose Add Block → Driving Licence. You can add more than one, including two from the same authority. Record the country, issuing authority, licence number, dates, notes and files. Vehicle Categories and Licence Conditions use the lists for Great Britain, Northern Ireland, Ireland, the United States and Canada, or wording you type when the list has no match.
The licence expiry fills each new category. A date you change or clear stays as you set it. Use Licence Expiry puts the licence date back.
A skill that comes from an accreditation shows that accreditation's health. Current evidence stays green. Expiring or expired evidence shows the warning colour, and the skill stays in your filters.

On the Screens You Already Use
You can add an Expirations card to a dashboard. It shows records that have expired, records due in the next 30 days, and the total. Open the card for the Expirations page. Follow it and Followed Insights shows both counts when either is above zero. When both are zero, the entry is hidden and the follow remains. Following the card does not send an email or a phone alert.
Where Followed Record Expiry Summary is turned on, you receive one message each morning, around 8:00 in the site's time. You see expired items and items due within 30 days on records you follow, in the inbox and by email. An empty list sends nothing. Following a building covers the locations and assets under it at that site. Following the Expirations card does not add items to that list. Email and inbox for the summary stay on until you change them in site notification preferences.
The Service Desk inbox shows a clipboard icon beside the assignee when a ticket has work orders raised from it or attached to it. The tooltip reads Linked to Work Orders. The count leaves out the work order that raised the ticket, and closed work orders count. Issues and Requests can show a Work Orders column, hidden until you turn it on. A Service Desk member who can open the work order can expand an attached issue or request and read it.
No Work Order sits with Assigned to Me and Followed, including on a phone. It keeps tickets that have no attached work order. The work order that raised the ticket does not count. Clear Filters turns the switch off.
For each organisation, your profile can set a default site and a start page. Choose Inbox, a dashboard you can open, or an insights page you are allowed to use. The app opens there. If that page is no longer available, it opens Inbox. The star on the site list matches the default site. A link to a specific page opens that page.
A file list, including on a company, takes several files at once. Select them or drop them on, including while you create a block. If one file fails, the files that succeeded stay, and a retry does not add them again. A saved list of more than five files collapses, with Show More and Show Less.
Add Photo on a checklist asks you to choose. On a computer, an existing photo comes first, and Take Photo is separate. Back to Photos returns to the files and turns the camera off. Add Photos accepts a PDF and adds the pictures inside it as photo evidence, in page order. A PDF longer than 20 pages adds the first 20. The original PDF is not kept.
Complete on a task opens a short prompt. You can add Completion Notes, then choose Cancel or Complete Task. The note is saved with the task and shown when you expand the completed task, in the inbox and in task management. Cancel leaves the task open.
