School New Machinery Conformity and Commissioning Procedure

Use this procedure only when new machinery is supplied, acquired, installed or commissioned for school work in Great Britain. It does not apply merely because existing machinery is used at school.
1. Confirm that the procedure applies
The responsible person, [responsible person role], should confirm that the machinery is new and is being placed on the Great Britain market for the school through [procurement or supply arrangement]. Record the machinery identification and the outcome in [machinery acceptance record location].
If the machinery is not new machinery being placed on the Great Britain market for the school, do not use this procedure as the acceptance check for that machinery.
2. Check the required conformity information
For new machinery placed on the market in Great Britain, confirm that the machinery is UKCA or CE marked, is supplied with a declaration of conformity, and is accompanied by instructions in English.
Marking
Inspect the machinery and record whether the UKCA or CE marking information is present and corresponds to the machinery being accepted.
Declaration of conformity
Obtain the declaration of conformity from [supplier name] and retain it with the procurement and supplier records for [machinery name].
English-language instructions
Obtain the instructions supplied with the machinery and confirm that they are in English. Retain them with the machinery records.
3. Record the acceptance decision
Record the UKCA or CE marking information, the declaration of conformity and the English-language instructions in [machinery acceptance record location], together with the machinery identifier and the date of the check, [check date].
Do not accept the machinery through this procedure until the required marking, declaration of conformity and English-language instructions have been checked and the related procurement and supplier records have been retained.
