Fields in brackets are completed when you adapt this template.
This procedure applies to [school name] and covers first-aid equipment, facilities, personnel arrangements and communication of those arrangements to employees.
1. Complete the first-aid needs assessment
The school should complete a first-aid needs assessment and use its findings to determine the school's first-aid arrangements.
The assessment should determine whether the school requires an appointed person to take charge of first-aid arrangements or appropriate numbers of suitably trained first-aiders. It should also identify whether workplace or workforce issues, or more significant health and safety risks such as machinery or hazardous materials, indicate a need for a sufficient number of appropriately trained first-aiders and potentially additional equipment and facilities.
The assessment should be completed for the arrangements at [school name], including the activities, facilities and staffing circumstances relevant to the school.
2. Determine the personnel arrangement
Where the needs assessment identifies that a first-aider is not necessary, the school should appoint a person to take charge of first-aid arrangements.
Where the needs assessment identifies a need for first-aiders, the school should provide a sufficient number of appropriately trained first-aiders. Staffing levels and cover should reflect the findings of the assessment.
The appointed person or first-aiders should be identified in the school's arrangements as [first aid responsible people].
3. Appointed-person responsibilities
An appointed person should take charge of the school's first-aid arrangements, including looking after first-aid equipment and facilities and calling the emergency services when required.
An appointed person may provide emergency cover, within their role and competence, where a first-aider is absent because of unforeseen circumstances. Annual leave does not count as an unforeseen circumstance for this purpose.
The appointed person should act only within their role and competence.
4. Equipment and facilities
The school should provide adequate first-aid facilities and a suitable stocked first-aid box.
The appointed person, where that arrangement applies, should look after the first-aid equipment and facilities. The locations of the school's first-aid equipment and facilities are [first aid equipment and facility locations].
5. Communication to employees
The school should provide employees with information about the first-aid arrangements.
The communication should identify the applicable personnel arrangement, the people responsible for first-aid arrangements or first-aid provision, and how to access the school's first-aid equipment and facilities.
The school's published or communicated first-aid arrangements are available at [first aid arrangements location].
6. Apply the assessment outcome
The school should operate the appointed-person arrangement only where the needs assessment concludes that a first-aider is not necessary. Where the assessment identifies a need for first-aiders, the school should operate provision by an appropriate number of suitably trained first-aiders and reflect the assessment findings in its staffing and cover arrangements.
