This guidance applies to maintained and academy schools in England. It describes the safety and estate records to maintain where they are relevant to the school, its estate, its systems and applicable statutory requirements.
Using the controlled record set
Maintain the controlled safety record set at [controlled record location]. The person responsible for maintaining the set is [record owner role].
Maintain documents to help ensure that the school and its estate are safe and compliant with regulations. Include current records and certificates for the estate and its systems where they are relevant.
Core health and safety records
The controlled record set should include the health and safety policy, including risk assessments and arrangements.
Include the asbestos register and management plan where the estate contains asbestos.
Include the fire risk assessment and management plan.
Examination, testing and remedial work
Maintain certificates and records of all statutory examinations, testing and remedial work relevant to the school and its estate.
Also maintain statutory maintenance and testing certificates where they are relevant to the estate and its systems.
Additional estate records
Maintain a Legionella risk assessment and management plan where applicable to the school’s water systems and estate.
Maintain inspection logs and registers relevant to the estate.
Maintain details and contact information for maintenance and emergency contractors relevant to the estate.
Local record details
The school’s record index or register is [record register reference]. Use it to identify the records held for the school estate and the systems to which they relate.
