Unexplained absence follow-up and Code N procedure

This procedure applies conditionally to maintained and academy primary and secondary schools in England. It should be used for each unexplained or unexpected pupil absence.
Responsibilities
The [attendance lead role] is responsible for ensuring that unexplained and unexpected absence is followed up in a timely manner, that follow-up actions are recorded, and that the attendance register is corrected when the reason becomes known.
Procedure
1. Identify and follow up the absence
Follow up every unexplained and unexpected absence in a timely manner. Make every effort to establish the reason for the pupil’s absence.
Record the follow-up actions taken and any reason for absence that is established.
2. Record Code N at register closure
If the reason for the absence has not been established before the register closes, record Code N in the attendance register.
3. Update the record when the reason is established
When an absence has been recorded as Code N, enter the correct absence code as soon as the reason is ascertained. The correct absence code must be entered no more than five school days after the session.
4. Amend Code N to Code O where the reason remains unknown
If the reason for absence cannot be established within five school days, amend the pupil’s record from Code N to Code O. Do not leave Code N on the pupil’s attendance record indefinitely.
Classification
Code N is classified for statistical purposes as unauthorised absence.
Where no reason for the absence is established, or the school is not satisfied that the reason should be recorded using one of the codes statistically classified as authorised, amend the record to Code O after five school days.
