Applicability
This procedure applies where a maintained or academy school in England maintains admission and attendance registers and a pupil's registration or attendance status is amended, or the pupil's name is deleted from the admission register.
Responsibility
The [register responsible role] is responsible for applying this procedure to amendments and deletions affecting the admission or attendance registers.
Procedure
Maintaining accurate records
Keep the admission register and attendance register accurate for the relevant time. The admission register must accurately record who is a registered pupil, and the attendance register must accurately record the pupil's attendance at any given time.
Amendments and deletions
Do not retrospectively delete a pupil's name from either the admission register or the attendance register.
When a register amendment or deletion is made, record the reason and the supporting evidence for the change, and retain the relevant audit trail.
Deletion from the admission register
When a pupil's name is deleted from the admission register, record the pupil's attendance up to and including the date on which the name is deleted.
The admission and attendance register records must preserve the relevant history of the pupil's registration and attendance rather than removing or altering earlier records retrospectively.
