FOR OFFICES & SERVICED WORKSPACES

Run a calm, safe office without the compliance pile-up.

Fire safety, first aid, DSE, electrical and water checks stay scheduled and evidenced across every floor and tenant, so when an insurer, a landlord or a new client asks how you keep people safe, you answer from live records instead of digging through inboxes.

The duties that come with the workplace

An office looks low-risk, until someone asks you to prove it's safe

Running an office feels a world away from a factory or a care home, but the law doesn't see it that way. Every employer has to assess the risks their people face and act on them. On top of that sit a set of workplace-specific duties: a current fire risk assessment, adequate first aid provision, DSE (display screen equipment) assessments for everyone who works at a screen, and workplace welfare standards covering everything from temperature and lighting to welfare facilities.

The building itself carries duties too. Electrical safety (fixed-wire and portable-appliance testing), emergency lighting and fire alarm tests, water hygiene and legionella wherever there are taps and tanks, and an asbestos register if the building is older. In a serviced or multi-tenant office, those duties get tangled: some sit with the landlord or operator, some with each tenant, and the split is rarely as clean as the lease suggests.

None of this is hard work in isolation. What's hard is keeping it all current at once, knowing what's due this week, who signed it, and which floor or tenant it covers, and being able to show it the moment it's asked for. That's the layer CalmCompliance owns.

What you need to be able to show, per site:

  • A current fire risk assessment, with alarm, emergency-lighting and fire-door checks logged
  • Recorded fire drills and named, trained fire marshals and first aiders
  • DSE assessments completed for screen users, with actions followed up
  • Fixed-wire and portable-appliance test certificates, in date and on file
  • A legionella risk assessment and the monitoring that follows from it
  • An asbestos register and management plan for any older building
  • Clear records of which duties sit with the operator and which with each tenant

THE PRESSURES

What matters most in your world.

01

Workplace duties scattered across people and inboxes

The challenge

The fire risk assessment is in someone's email, the first-aid list is on a noticeboard, DSE forms are in a drawer, and no one can say at a glance what's current and what's lapsed.

How we help

Every assessment, certificate and check lives in one place against the floor or site it covers, with review dates and reminders. What's current, what's due and what's overdue is visible without asking around.

02

Serviced and multi-tenant sites with shared responsibilities

The challenge

In a serviced office, fire, electrical and water duties split between operator and tenants, and proving who is responsible for what becomes a problem the moment something goes wrong.

How we help

Each site and tenant has its own compliance view, so shared duties are recorded clearly and each tenant can see, and sign off, the parts that belong to them. Nothing falls through the gap between landlord and occupier.

03

Insurance, landlord and client requests on demand

The challenge

An insurer renews, a landlord audits the lease, or a prospective client asks for your health-and-safety evidence, and you lose a day assembling a pack from scratch.

How we help

Pull a current evidence pack from live data: risk assessments, certificates, training and incidents, for any floor or site. You share a live view or export it in minutes instead of rebuilding it by hand.

WHERE THE PROOF LIVES

Every workplace duty maps to something you already manage

Capture each check once, against the site and the floor, with dates and certificates attached, so the compliance picture is assembled, not gathered.

Free readiness check

Could you prove it tomorrow?

Most teams only find the gaps when someone asks. This finds them first: a readiness score, your biggest gaps, and a plan for each, in about three minutes.

YOUR STACK

Works beside your existing stack.

CalmCompliance adds compliance and evidence on top of the tools your office already uses, so you keep familiar workflows.
